JOB SUMMARY

The Retail & Gallery Manager is responsible for maintaining current Inventory Ordering, Inventory Records, maintaining gallery atmosphere, assisting in team growth, and management of the team for Retail, Generating artist payments and invoices while maintaining existing gallery inventory, managing payments for both Retail Vendors and Artists, merchandising current inventory in Retail spaces, directly oversee day to day operations of the retail & gallery team, assist the Retail & Gallery team with customer and/or guest needs, maintenance of department information/files, and systems, assisting the Director in achieving budget for both Gallery & Retail Spaces as well as assisting Director in duties as needed and instructed.

CORE RESPONSIBILITIES

Primary areas of responsibility include, but are not limited to the following:

Sales & Marketing

  • Know department sales budgets/goals and ensure they are met
  • Cultivate department Retail team
  • Handle Customer and/or Guest Issues as they arise in regards to the Day to Day Retail Operations when they need to be elevated above the Retail Supervisor

Administrative & Inventory Support

  • Assist the Gallery Team as needed
  • Approve Retail Team Schedules generated by Retail Supervisor
  • Day to Day management and administration of specialized gallery kiosk on behalf of the Director
  • Databases (various supporting software), photo files, both electronic and hard copies of artist files, daily sales & tracking
    records
  • Inventory Management for Retail including but not limited to, re-ordering, monthly Inventory Counts and Reporting
  • Ensuring Invoices are into the accounting team and following up on payment status/submissions
  • Communicating with Vendors in regards to retail reordering, status, and payments
  • Know the inventory (Know the vendor/artist & who/what is consigned vs owned)
  • Customer Complaints, Concerns for Retail as needed
  • Managing inquires for artist representation, or Vendor, by Directing them to the Director in an organized fashion
  • Ensure accurate month end physical inventory counts; physically counting/touching each piece to verify if information on tag
    (title/description/price/inventory #) and in system is correctly. Accuracy is required, there are no short cuts.
  • Compiling information to reconcile transfers, RTA’s (Return to Artists), Hotel Staff purchases, request, vouchers, and damages
    as they occur
  • Handle arrivals (as directed) receiving new art/merchandise in timely fashion (Note: Process for receiving merchandise; physically check in and verify invoice/GD to sign off & submitting invoice for payment to controller/file invoice while maintaining copies in files/Each item MUST be tagged correctly before displaying or storing)
  • Merchandising of Item’s for a clean luxury on brand look
  • Restocking and merchandising of gallery kiosk inventory
  • Tagging of all merchandise (art cards, jewelry tags, etc)
  • Maintaining daily correspondence from the gallery kiosk to patrons
  • Holding daily meetings with the Retail Team
  • Strong Communication with both the Retail Team & Gallery Team ensuring they are aware of needs as directed by the Director
  • Communicates with artists/vendors only with Gallery Director approval/direction prior to
  • Track & ensure sales goals are hit by the team
  • Partake in the design, set up, and success of the Holiday Markets with the Director
  • Guarantees Retail & Gallery Team have the tools & resources they need by identifying them and working with the Director
  • Act as a liaison for the Retail & Gallery team
  • Interviewing potential Team Members for Retail as directed by the Director of Gallery & Retail
  • Create a fun & warm environment for the Retail & Gallery team to ensure satisfaction of the team & their success
  • Performs miscellaneous job-related duties as assigned

Retail Atmosphere

  • Retail atmosphere is to be maintained at all times; lights are to be on high, music on, glass cleaned, dusting to be done daily (all shelves, picture frames, etc), vacuuming/sweeping as needed but at least twice per week before or after business hours, and ongoing jewelry polishing (weekly/daily if necessary).
  • Retail Kiosk attire: Marriott Uniform

MINIMUM QUALIFICATIONS
  • A Background in Luxury Sales with six+ years’ experience, Required

  • Experience maintaining a Fine Art Gallery for 3+ years, Required

  • History of Product Ordering Required

  • Merchandising Experience

  • Inventory Control Experience, Required
  • Strong Sales and Communication Skills
  • Efficient and Organized
  • History of Exceeding Sales Goals
  • A Background in Pricing Merchandise
  • Ability to Work in a Fast-Paced Ever-Changing Environment
  • Customer Service Management Skills, Required
  • Inventory Control Experience, Required
  • Computer Proficiency (Microsoft Office Outlook, Word, Excel)/ Must be able to learn and adapt to gallery systems and required technology
  • Lifting is Required over 50+lbs/ Able to Climb Ladders
  • Engaging/ Great Attitude/ Motivated Team Player
  • Flexible Schedule (Able to work nights, weekends and holidays) is Required
WORK ENVIRONMENT 

The work environment/conditions described herein are representative of those that an incumbent may experience.

  • Must be comfortable working in a shared space, with constant noise, with/or without the use of a private office
  • Schedules may vary from week to week based on business demands in excess of 40 hours with or without notice
PHYSICAL DEMANDS

The physical demands described herein are representative of those that must be met by an incumbent to successfully perform the essential functions of this job.

  • Regular lifting and maneuvering of up 20lbs on a daily basis, 50lbs on a periodic basis
  • Travel by foot, car, bus, airplane or other means of transportation which require sitting, waiting and standing for long and short periods of time
